The Evidence Folder Narrows the Dispute
Contract page, email screenshot, and rate sheet sit together, and the dispute finally stops looking like fog.
The slowest part of a rate dispute is often not arithmetic. It is scattered evidence. A clear supplier evidence folder brings contract clauses, email confirmation, rate-sheet version, currency, and valid dates into the same question early.
When a rate dispute opens, the desk rarely contains only one number. On the left is page 14 of a contract with a yellow highlight. On the right is an email screenshot from three weeks ago. Underneath sits a rate sheet with a currency column. Then comes the irritating small question: is this sheet v2, or did v3 replace it later?
Disputes do not usually drag because nobody can calculate. Room rate, tax, commission, extra bed, breakfast, cancellation window: each can be checked. The loop begins when evidence does not claim its neighbors. A sentence like “apply the contracted rate” can become several answers if the valid dates, market, room type, currency, and confirmer are not attached.
More evidence is not automatically better. Dumping every email, screenshot, and sheet into one folder only changes the problem from missing proof to rummaging. A useful evidence pack is restrained: keep the pages that can change the decision, mark the version source, redact what should not travel, and place the disputed row near the rule that explains it. It is not trying to look serious. It is trying to remove the next unnecessary question.
